Un caso de uso real

Para garantizar que 6 empleados de un tercero puedan comprobar los libros y aprobar un acuerdo, se crea una VDR de Nextcloud. El equipo interno de 11 empleados recibe cada uno una cuenta en la que pueden cargar y colaborar libremente en los documentos, a través de sus dispositivos móviles, así como mediante la edición, el chat y las llamadas en el navegador. Los 6 invitados reciben una cuenta de invitado.

El correo de bienvenida guía a los invitados para que configuren su cuenta con una contraseña y un segundo factor de su elección: una llave hardware, un mecanismo de contraseña única como Google Authenticator o un SMS. A continuación, pueden iniciar la sesión.

El equipo interno puede compartir archivos con los invitados, con o sin derechos de edición para el invitado (por archivo). Su aplicación de correo electrónico Outlook, cuando se escribe un correo electrónico a un invitado, cargará automáticamente los archivos adjuntos, así como el cuerpo del correo, en la VDR y simplemente notificará al invitado que se ha recibido un nuevo mensaje.

Besides email, users can comment on documents, which will notify a mentioned person or the document owner. Last but not least, real-time audio/video communication and chat are available, all within the VDR. This ensures no information, not even the content of emails or meta data of chat and calls can leak.

Aside from participating in communication when invited, the six guests can only ever see and, if they have the access rights, edit files. The files can not be downloaded, copied from or printed and are watermarked on the screen at all times. Guests can also not upload files unless a folder is made available to them where they can do so, nor connect with third party tools or clients to Nextcloud unless explicitly allowed. Any file has to be accessed securely through the browser or is not available.

At the end of the process, the VDR is archived and any devices which were set up are remotely wiped by the administrator using the built-in remote wipe feature.

Buzón seguro

El complemento de Outlook Nextcloud Secure Sharing incluye una función de buzón seguro. Esta función protege el contenido (cuerpo) del correo electrónico de la interceptación proporcionando al destinatario una notificación de que se ha recibido un nuevo correo electrónico. A continuación, el destinatario tiene que iniciar sesión en su cuenta (de invitado) para acceder al correo electrónico y sus archivos adjuntos.
